Information about voting procedures, proxy voting, and homeowner participation in HOA governance.

Your Right to Vote

As a homeowner in Crooked Lake Reserve, you have the right to vote on important matters affecting the community, including:

  • Election of Board of Directors members
  • Amendments to governing documents
  • Special assessments (when required by governing documents)
  • Major policy changes
  • Other matters requiring homeowner approval per the Bylaws

Voting Procedures

Annual Meeting Voting

The annual meeting is held the first Sunday in February. Voting typically occurs:

  • In person at the annual meeting
  • By proxy if you cannot attend
  • By absentee ballot (if provided by the Board)

Special Meetings

Special meetings may be called for specific matters requiring homeowner vote. Notice will be provided per the Bylaws, typically 14-30 days in advance.

Voting Requirements

Voting requirements vary by matter and are specified in the Bylaws:

  • Each lot typically has one vote
  • Some matters require a majority vote
  • Amendments to governing documents may require a supermajority (e.g., 67% or 75%)
  • Quorum requirements must be met for votes to be valid

Proxy Voting

What is a Proxy?

A proxy allows you to authorize another person (the "proxy holder") to vote on your behalf if you cannot attend a meeting. This ensures your voice is heard even when you're unable to attend.

How to Submit a Proxy

Proxy forms are typically included with meeting notices. To submit a proxy:

  1. Complete the proxy form provided with the meeting notice
  2. Designate a proxy holder (another homeowner or Board member)
  3. Indicate how you want your vote cast (if specified) or grant general proxy authority
  4. Sign and date the proxy form
  5. Return the proxy form by the deadline specified in the meeting notice

Important Proxy Information

  • Proxy forms must be received by the deadline specified in the meeting notice
  • Proxies are typically valid only for the specific meeting for which they are issued
  • You can revoke a proxy before the meeting by notifying the Board in writing
  • If you attend the meeting, your proxy is automatically revoked
  • Proxies cannot be used for certain matters (check Bylaws for restrictions)

General vs. Limited Proxy

General Proxy

Grants the proxy holder authority to vote on all matters at the meeting as they see fit.

Limited Proxy

Specifies how you want your vote cast on particular matters. The proxy holder must vote as instructed.

Running for the Board

Homeowners are encouraged to participate in community governance by running for the Board of Directors. Board members are elected at the annual meeting.

How to Run

  • Notify the Board of your interest in running
  • Submit a candidate statement (if requested)
  • Attend the annual meeting
  • Be prepared to answer questions from homeowners

Board Member Responsibilities

  • Attend regular Board meetings
  • Review and vote on community matters
  • Represent homeowner interests
  • Ensure compliance with governing documents
  • Oversee HOA finances and operations

Participating in Meetings

Before the Meeting

  • Review the meeting agenda and any proposed resolutions

During the Meeting

  • Arrive on time
  • Sign in if required
  • Participate in discussions during open forum periods
  • Vote on matters requiring homeowner approval
  • Be respectful of other homeowners and Board members
